For healthcare staffing agencies

Stipend math is still a spreadsheet and a prayer at tax time.

Travel Code is travel and expense software for staffing agencies. It checks housing and meal stipends against GSA rates for each assignment, books clinicians' travel inside your policy, and gives you 60 days to pay for it, so you're not fronting travel while you wait on facilities.

From $100 a month, any number of clinicians
Official per diem rates by destination from US State Dept, UK HMRC and other sources, refreshed automatically
  • SOC 2 Type II
  • IATA / ARC accredited
  • Visa card issued by Coastal Community Bank, Member FDIC
  • 24/7 support inside the app
Sound familiar?

“Every clinician we place is another seat license. We grew 40% and so did the software bill.”

Cost grows with headcount

“Flights get booked at 11 pm by a recruiter on a personal card, and we pay before the hospital pays us.”

No policy, no float
What finance stops doing by hand
01 · STIPENDS

Housing and meal stipends checked against GSA rates for every assignment.

Anything above the rate for that location stops for approval, with the reason written next to it. Each contract keeps a record of the rate, the approver and the date. Tax treatment of stipends stays with you and your CPA; we give you the record.

Per diem settings: rate source, first and last day proration, percentage of the official rate and converted amounts
02 · NO SEAT FEES

Go from 212 clinicians to 512 in a quarter and pay the same $100 a month.

The price doesn't depend on how many people travel. Short contracts, turnover and winter surges stop showing up on the software bill. The plan price stays flat; the per-ticket fee applies only to tickets you actually book.

Company modules: switch travel booking, travel profiles, group booking and other modules on or off per company
03 · NET-60 CARD

Pay for travel on day 60, not the day you book it.

Most facilities pay in 30 to 60 days. The card gives you 60, with cashback. Whatever the gap, it sits on your side, not on a recruiter's personal card. The card is optional.

Company wallet: card balance, available limit, Travel Code cash and transaction history
04 · SELF-BOOKING

Clinicians book their own flight home at 2 am, inside your policy.

Booking takes under a minute. If something's outside the policy, it waits for approval instead of landing on a recruiter's personal card. Support answers inside the app around the clock.

“We replaced three vendors with Travel Code: the travel agency, the expense tool and the card program. The CFO now has a single number for travel spend.”

FAQ

Questions your VP Finance will ask

Can clinicians book for themselves?

Yes, inside the policy you set. Anything outside it waits for approval before it's paid.

We already have a housing vendor. Do we have to switch?

No. Keep them. We handle the stipend checks, the payment and the record. Housing stays with whoever you use now.

Can we bill travel back to the facility?

Yes. Every trip, stipend and receipt carries the contract number, so you can export billable travel per facility.

Does this make our stipends tax-free?

No. Tax-free treatment depends on each clinician's tax home and situation, not only the amount. We check amounts against GSA rates and keep the record per contract. Your CPA decides the treatment.

Does it connect to Bullhorn?

Not natively yet. We export to your GL and have an API and webhooks, so your team or an integrator can connect it. If a native integration is a must-have, tell us on the call.

What does the AI actually do with our money?

The AI reads receipts and suggests. It never moves money. A rule does, and a person approves. Every payment and GL entry shows which rule passed it and who signed off.

Who issues the card?

Coastal Community Bank, Member FDIC, through Pliant. It's a Visa. Virtual cards are available now; physical cards are coming soon.

What if you get acquired, or we want to leave?

There's no multi-year contract and you can export all of your data whenever you want. Cancel the plan and you keep everything.
