Your CRAs flew 1,900 segments last year. Finance can bill the sponsor for about 1,400 of them.
Travel Code is travel and expense software for clinical research teams. It books monitor visits inside your travel policy and codes every segment and receipt to the protocol and site. When a visit moves, the credit on the old ticket is tracked until it's used.

“The sponsor's pass-through invoice is due Friday. Someone is matching 300 flights to protocols in Excel from the card statement.”
Billable travel reconciled by hand“The site rescheduled, the CRA rebooked on her phone, and the $480 credit on the old ticket went nowhere.”
Unused tickets, untrackedEvery segment, hotel night and receipt carries the protocol and site from the moment it's booked.
The CRA picks the protocol and site when booking. The code follows the trip through the card transaction, the receipt and the GL export, so the pass-through invoice is a filter, not a project.

When the site reschedules, the credit on the old ticket is tracked until it's used.
Unused tickets stay on a list with the airline, the value and the expiry date, with a reminder before they lapse. When that CRA searches the same airline, the credit shows next to the fare.

When the sponsor asks for backup on a visit, it's a filter, not a week.
Every line carries the protocol and the site, so the GL export filters by protocol, site or date range, with the booking, the receipt and the approver on each trip.

“We replaced three vendors with Travel Code: the travel agency, the expense tool and the card program. The CFO now has a single number for travel spend.”

What goes unrecovered when travel lives in a card statement
Per-seat pricing for every CRA, plus the ticket credits that expire because nobody tracked them.
$0, $100 or $290 a month. Any number of CRAs.
Booking and travel policies, to try it on one protocol.
For protocol coding, credits and sponsor billing.
Advanced policies and roles for larger finance teams.
On top of the plan, there's a per-ticket service fee on flights and train tickets. It's shown before you book.
Questions your finance director will ask
Can we bill travel back to the sponsor per protocol and site?
Yes. Every segment, hotel night and receipt carries the protocol and site, so the pass-through export is a filter by code and date range.
What happens to unused tickets?
They stay on a list with the airline, the value and the expiry date, and you get a reminder before they lapse. When that traveler searches the same airline, the credit shows next to the fare.
Does it connect to Veeva, Medidata or our CTMS?
Not natively yet. We export to your GL and have an API and webhooks, so your team or an integrator can connect it. If a native integration is a must-have, tell us on the call.
Do you support international monitor visits?
Yes. Flights and hotels are bookable worldwide, and per diem covers official rates for other countries as well as GSA.
What does the AI actually do with our money?
The AI reads receipts and suggests. It never moves money. A rule does, and a person approves. Every payment and GL entry shows which rule passed it and who signed off.
Who issues the card?
Coastal Community Bank, Member FDIC, through Pliant. It's a Visa. Virtual cards are available now; physical cards are coming soon.
What if you get acquired, or we want to leave?
There's no multi-year contract and you can export all of your data whenever you want. Cancel the plan and you keep everything.
Bring one real protocol to the demo.
Your travel policy, two sites and next month's visit schedule. We'll book a visit, code it to the protocol and site, and show what happens to the credit when it moves.
After the call
Send us your travel policy and your GL chart of accounts. Next month's visits can be booked on it the following week.
